Meeting Venue

One of the roles of the president is to annually arrange for the meeting room. I recently contacted Come Share to confirm with them that they will still be willing to have us use their space once they re-open. (As you saw from the emails your were cc'd on) They like to know all of the dates, and times that we will be using the building. I look ahead on the calendar and give them all of the dates for the whole year in advance. I will need to set up a meeting with the director of Come Share for the three of us. There was a change of director last May. I have not met the new director in person yet.


The director will take your name and contact information, and most likely sign out a key to you. She will show you how to use the alarm and how to lock the door. The last director went through some of the safety rules of the building, and what to do if you accidently set off the alarm. She also went over what to do in case of a fire and we needed to evacuate the building.

On meeting nights, I would arrive to Come Share by 6:30pm to open up. There was usually a couple of people already waiting for me when I got there. We would set up chairs and tables in preparation for the evening. I would find the coat rack, and move it into a spot close to the front of the room for people to use. (Occasionally, it was hard to find) 

At the end of the evening, we would put the chairs and tables away. I would try to make sure that any garbage was put in the garbage can, and their were no big messes left for the janitor. I would always do a check around the room to see if anyone forgot any of their belongings.

Come Share has a projector that we can use if we want to. We do need to let them know in advance, otherwise it is not around. We also need to let them know that we need an extension cord. At the end of the evening, put the screen back up if it was used for the projector. Put the projector and extension cord back in the same spot that they put it for us. Whenever we needed the projector, I would ask them by email about a week in advance. Then on the day of the meeting, I would send an email to remind them.
